7 Ways to Improve Your Employees’ Clocking Habits
Rushing to leave on a Friday afternoon, having a long day, or being overly stressed; there are many reasons why someone would forget to clock in/out at the start or end of their work shift. It’s not uncommon for this to happen to everyone occasionally. Luckily, mistakes like these are easy to correct with TimeMoto, but of course, it is better to prevent them from happening altogether. With our 7 tips, your employees will surely improve their clocking habits.
It is important to make sure employees properly clock their work hours. For example, in the US, most people are paid hourly and accurate time tracking is therefore extremely important, you are at risk of violating federal and state laws if your business is not paying its employees properly. In the EU, employers must have a system in place to measure the working hours of their employees. Many European countries also require employers to record these hours and keep a record.
To ensure employees are being paid correctly and your business remains compliant with local labor laws, the first step is establishing a clear time-tracking system. That much is clear. But how do you get your employees to clock in and out every day and on time?
1. Make it convenient
With the TimeMoto Cloud, web service, and mobile app, there’s something for everyone. Even if your employee missed the Time Clock right at the building’s entrance, it’s still possible to clock out afterwards. The web service also makes things easier for remote workers.
2. Provide multiple clocking-in methods
With multiple methods for identification, there is always a way to clock in. For example, did someone forget their RFID badge? With a personalized PIN code or even face recognition, it is still easy to clock in. It’s this flexibility that also makes our solution adaptable for many industries. Do you work in a warehouse? Give your employees badges to clock in so you know exactly when they begin and end their shifts. Have a high-security team? Combine clock-in options to require both a fingerprint and badge to clock in.
3. Standardize
A simpler procedure for clocking in and out makes it easier for everyone. For example, did you know that if you work in an office that also requires a MIFARE/DESFire or HID badge to unlock the door, you can use that same badge to clock in right after you step inside? The TimeMoto TM—818 MC is specifically designed for HID and multiple of our Time Clocks support the MIFARE/DESFire standard.
4. Remind forgetful employees
If you have a manager role, your TimeMoto Cloud app will notify you if an employee clocks in late, clocks out early or is missing from work altogether. Use this function to stay on top of clocking actions.
5. Actively make it a part of procedures
Make clocking in and out a part of the employee handbook and include it in your employee training. This will remind everybody that clocking in and out is a mandatory part of every workday.
6. Set up a protocol
If an employee forgets to clock in or out, the manager can still access the employee’s timesheet to manage their clocking actions by editing existing clocking actions (in case of a mistake) or adding missing ones. For both parties, this is a perfect opportunity to discuss what went wrong and explore possibilities to improve clocking.
7. Lead by example
This one’s easy: don’t forget to clock in and out daily yourself! Ensure you are seen doing it or make it the subject of conversation with your team. If it’s clear to everyone that it is important to you, it will remain top of mind for your team members as well.
